Onecard Employee Training Management and Onecard Enterprise software is designed for companies that need to collect, track and manage the evidence of employee training, licences, induction and inhouse training records to keep employees safe, maintain quality certifications, regulatory requirements and to ensure you have the evidence of a trained workforce.

Both Employee Training Manager and Enterprise have identical software functions, workflows, and reports. However, Enterprise is a fully serviced platform, while Employee Training Manager is managed by your administration team with support from Onecard if needed.

Employee Training Manager: Your administration team has full control, with optional support and help from the Onecard team when required.

Enterprise: This serviced platform includes data controls and is fully managed by Onecard’s team of administrators, who handle all data entry. Enterprise uses strict, industry-standard naming conventions for competencies and roles, ensuring a single source of truth. It’s ideal if you don’t have the resources or time to manage workforce compliance or if your needs are complex.

Additionally, we offer an administration or advisory service for Employee Training Manager clients on a fee-for-service model if required.

Unlike many software companies that remain behind their screens, we are committed to helping you set up and make the most of the features and workflows that come as standard in both our platforms.

For the Employee Training Manager, support is provided via email. You can send us your questions, book a training session, or request a call-back.

For Enterprise, we offer full support, including all data entry, to ensure your experience is seamless and efficient.

No, Onecard software applications are all cloud-based therefore, no install on hardware is required.

Company administrators or supervisors can access through any web browser from any computer.

We are industry agnostic and have members from a large range of industry sectors, as ALL businesses have the legal requirement to have valid evidence of a trained and competent workforce.

Data

We use Amazon Web Services (AWS) to host our cloud service, so you benefit from a data center and network architecture built to meet the requirements of the most security-sensitive organizations. AWS is a secure, durable technology platform with industry-recognized certifications and auditsq #]

Data Security

We take data security seriously and use industry-standard measures to protect your information. This includes:

  • Encryption: Data is encrypted both in transit and at rest.
  • Access Control: Only authorized team members can access specific data, and only when needed to provide support or maintain the platform.
  • Regular Security Audits: We regularly assess and update our security measures to prevent unauthorized access. Onecard group in currently undertaking ISO 27001 cyber security accreditation.

The data is always owned by you. At any point, you can export your data from the application.

Our clients enter operational data, like employee records, to use our platform. We do not control this data and act only as a processor. Our clients are the data owners and control the information they upload, including any permissions or consents needed from employees.

  • For Clients: As a client, you have full control over the data you upload to the platform. You can view, update, export, or delete data at any time. Please contact us if you need help managing your data.
  • For Employees of Clients: If your employer uses our platform and you have questions about your data, please contact them directly. We process your information under their instructions and do not control it.

Yes, multiple users can access the training management software at the same time. A company administrator decides who has access the software and that permissions their role is allocated.

Subscriptions

You do not need to provide credit card details when registering. You only need to provide credit card details if you decide to subscribe.

At the end of your free trial period, you will need to subscribe to either platform if you wish to continue to use the software. If you decide not to subscribe, your data will be removed after 30 days.

We will automatically renew your account using your previously used card information. This payment is processed through our highly secure payment provider FastSpring.

Yes, when you subscribe, any data you have entered during your free period will still be available.

You can pay for your subscription using the following payment methods: Visa, Mastercard, AMEX, PayPal or Discover.

Yes, you have the choice between monthly or annual subscription.

The benefit of an annual subscription apart from less paperwork is you will only pay for 11 months, that’s one month free.

Yes, you can cancel your subscription whenever you wish, and you will not be billed anymore. If you wish to receive a copy of your data, please let us know and we will send this to you, or you can export the data from the application before you cancel your subscription.

If you have gone over or are getting close to your tier limited, we recommend that you delete any employees that are no longer employed.

Inactive employees still are part of your employee numbers, as you still have access to their records, via show inactive button, therefore check to see if any inactive employees can be deleted.  

If your business is growing and you need to increase your number, you can go the subscribe now and upgrade to the next tier.
